What are the Most Important Requirements in an LMS for Trainers?

For trainers and assessors, I think understanding where to get documentation is important. I think controlling what trainers and assessors can do and having a quality assurance process within it is key. So, for example, the feature where a trainer or assessor can’t be allocated if they haven’t been approved and don’t hold the requisite requirements — I think that’s huge. A lot of RTOs who don’t use an LMS with that feature come severely unstuck, because people will think that they can go and do an assessment, and they do it, and by the time it’s done it’s late in the process. I’m going to say there are very few RTOs who will say, “No, no, no, we’ll go back and we’ll redo that whole assessment.” So I think that’s probably the most important thing for me.
But also their ability to record attendance easily, know who’s meant to be there, and access documentation. Having documentation up to date is probably another thing that trainers and assessors are notorious for. They’ll download things onto their computer in the good old days, and no matter how many times it updates, they will continue to use whatever’s on their desktop. So I think CloudAssess assists in all those areas.
Key Points
- Compliance gatekeeping is the standout feature. The ability to prevent unqualified trainers and assessors from being allocated to deliver training or assessment is seen as the most important capability. Without it, RTOs risk non-compliant assessments that rarely get redone once discovered.
- Documentation access and version control matter. Trainers and assessors are notorious for downloading resources to their desktops and never updating them. A cloud-based system ensures they're always working from the latest versions.
- Visibility over trainer and assessor permissions is critical. RTOs need to control what trainers and assessors can and can't do within the system, with a built-in quality assurance process to support this.
- Operational ease drives adoption. Simple things like recording attendance easily and knowing who's meant to be in a session reduce friction for trainers and assessors, making the platform practical for day-to-day use.
