Optimising Emergency Training: How Cloud Assess Helped Westpac Rescue Helicopter Service Go Digital

The Westpac Rescue Helicopter Service is a critical aeromedical operation serving Northern New South Wales. As a Registered Training Organisation (RTO), the service was hampered by a fully paper-based training system that created seven-day processing delays, compliance risks and administrative bottlenecks across its operational and support teams.

From paper to powerful

Paper-based training slowing down a life-saving operation

The Westpac Rescue Helicopter Service managed all training and assessment through a 100% paper-based system, creating significant delays and compliance exposure. Assessment processing alone took up to seven days, while trainers spent hours at the end of each cycle manually scanning, filing and processing hundreds of documents. The reliance on multiple disconnected platforms for e-learning and practical assessments compounded the problem with inconsistent workflows. For an organisation where grounded helicopters can cost lives, these administrative inefficiencies carried real operational risk.

One digital platform from classroom to cliff face

Cloud Assess replaced the paper-based system with a fully integrated learning management platform covering both e-learning and practical assessments. Trainers now conduct real-time field evaluations on iPads during live exercises, including high-risk scenarios such as winching operations over water and nighttime bush extractions. The platform also supports Virtual Reality assessments, allowing trainees to practise emergency scenarios in a controlled, immersive environment before performing them in the field. With instant documentation and compliance tracking built in, all safety requirements for doctors and crew are validated in real time, preventing unnecessary helicopter groundings caused by administrative delays.

Paperwork eliminated, compliance tracked in real time

The transition to Cloud Assess eliminated the administrative burden that had slowed training delivery across the service. Assessment processing that once took up to seven days now happens in real time within a single system, and the risk of lost or incomplete documentation has been removed through digital record-keeping. Trainers have reclaimed significant time previously spent on scanning and filing, redirecting that capacity into higher-quality education and operational readiness. Doctors and emergency responders have found the system intuitive, improving engagement, while the integration of VR training has positioned the service at the forefront of emergency response education.
